Keeping shift handovers aligned with your attendance records

When shift changes and attendance records disagree, payroll and coverage both suffer. Here's how to keep them in sync.

Why handovers drift from records

Verbal handovers are fast, but they leave no record. When a shift swap happens on the floor and never reaches the schedule, attendance data stops reflecting reality — and that gap shows up later in payroll.

One source for the schedule

The fix isn't more paperwork, it's a single place the schedule lives that both the outgoing and incoming shift can see and update. Swaps get logged where they happen, not remembered later.

Make check-in the trigger

Attendance should be captured at the moment someone actually starts, not reconstructed afterward. GPS, QR, PIN or kiosk check-in each work for a different environment — the method matters less than making it happen in real time.

Quick checklist

  • Keep the schedule in one shared place
  • Log swaps immediately, not after the fact
  • Capture attendance at the moment of check-in
  • Review timeliness trends monthly, not just totals
